Search for and check in guests
Required permissions: To check in guests, you need the Check in guests permission. To view guests, you need the View guests permission. Even without the view guests permission, you can see guests you have added yourself. You may only have permission to see some event guests. Learn more about permissions.
Guest check-ins work in offline mode. If you're offline, check-ins are saved until your device reconnects to the internet.
Check in by guest name or custom details
- Go to Events (main menu) > your event > Guests
- Type the guest's name in the search field
For faster searches, use our initial/prefix search. Instead of typing "John Smith", type "j s". If you get too many matches, keep typing "j sm" to filter further. Order doesn't matter - "s j" works too.
- Select More next to the search field to enable search for custom fields
- Choose which custom fields you want to search on - they'll appear in results and become searchable
- Select the guest from the search results
- The guest details appear on the right with a check in button showing tickets checked in/total tickets
- Select the check in button once to check in 1 ticket
For guests with both free and paid tickets, two buttons appear so you can choose which ticket type to check in first.
Additional search options
Select More next to the search field for these filtering options:
- Checked in - filter by check-in status
- Guest lists - filter by specific guest lists
- Added by - filter by who added the guest
- Sort by - change sorting (first name, last name, or custom field)
Edit check-ins
To undo a check-in or check in multiple tickets at once:
- Go to Events (main menu) > your event > Guests
- Find and select your guest
- Select Edit check-ins
- Enter the number of checked-in tickets
Scan QR codes and tickets
- Go to Events (main menu) > your event > Guests
- Select Scan next to the search field
- Use your device's camera to scan the QR code
Our system supports two QR code types:
- One QR code per ticket - automatically checks in that ticket
- One QR code per guest - selects the guest so you can choose how many tickets to check in
To change automatic check-in behavior, select More > Scanning tab.
Hardware scanners
For high-volume events, consider dedicated barcode scanners. We support Zebra devices with global availability. Contact us before purchasing to confirm compatibility.
QR code validation
- Already scanned tickets show when they were previously scanned
- Tickets for other events are identified to help with confused guests

Note: Check-ins are tracked in logs showing which user checked in guests and when. Stats help you see which promoters' guests actually attended.
Best practices
For speed: Try name search with our initial search first. Many organizers assume QR scanning is faster, but name search is often quick enough without distributing QR codes.
For security: QR codes prevent guests from walking up and giving fake names. Our QR codes are more secure than ID cards, which can be faked.
For personal experience: Asking for a guest's name feels more welcoming than requesting a QR code, especially for VIP events where you're checking IDs anyway.
