What your guests see

This article walks through an invitation from the guest's side, from opening the link to receiving the confirmation. Knowing what your guests see helps you write the messages and decide which details to collect.

Tip

Before sharing an invitation, open the link yourself and sign up with your own email address to check the invitation page, the confirmation page and the email.

The invitation page

The page starts with the heading, which is the title of the invitation or, without one, the name of the event, followed by the Information message with its images and files.

Under Event (or Events when the guest lists belong to different events), each event shows its name, date and venue, and each paid guest list shows its ticket price. The name of the guest list is shown for a paid list, or when the invitation offers several guest lists for the same event. When the invitation offers several guest lists, the guest chooses how many guests to sign up for each of them. A guest list that is full shows No tickets left. When no spots are left at all, the Not enough spots message is shown under Event, and Your details and the sign-up button are hidden.

Under Your details, the guest enters their First & last name and the custom fields you set up. On a personal invitation that you created with a name, the name is filled in and cannot be changed. When the invitation offers one guest list that allows more than one guest, a Guests field sets the number of guests.

Signing up and paying

For free guest lists, the guest selects Submit and is added to your event right away.

For paid guest lists, the guest selects Buy ticket or Buy tickets and pays by card. The spots are reserved while the guest pays, and the page shows how long the reservation lasts. If it expires, the guest is asked to start again. See Manage event ticketing and QR codes for how to set prices.

The confirmation page

After signing up, the guest sees the Confirmation message followed by their confirmation for each guest list. What it contains depends on the guest list's QR code setting (see Manage event ticketing and QR codes):

  • 1 QR code per guest: one ticket per guest, each with its own QR code, the guest's name, the ticket ID and whether it has been checked in. Download saves the ticket as a PDF
  • 1 QR code per name: a guest confirmation with one QR code for the whole party, the event details and the guest's name and guest count
  • No QR codes: the same guest confirmation without a QR code

If you later change the event's name, dates or venue, or the name of the guest list, the confirmation page tells the guest that the details have been updated and lists the changes. When the guest list uses QR codes, it also tells the guest that their tickets remain valid.

The confirmation email

When Send confirmations to guests is selected, the invitation page asks the guest for their Email address and sends them the confirmation by email. Confirmations are always sent for paid guest lists. Replies go to the Reply-to email address of the invitation.

Declining a personal invitation

A personal invitation also offers Decline invitation. The guest can enter a reason, and the page then shows that the invitation has been declined. The invitation email contains a link that opens the page directly on the decline option. See Track responses to personal invitations for how you see the responses.
