Add or import passes

Passes added to a pass type automatically appear in all events the pass type is linked to. You can add passes either directly through the passes view or through any event that includes the pass type. When adding through an event, see Add or import event guests.

To add passes to a pass type, you need the Add guests permission. Learn more about Permissions.

Steps to add passes

  1. Go to Passes (main menu) > your pass type > Passes
  2. Select New passes (below the list, or ➕ button on mobile)
  3. Select your preferred method using the tabs

Single tab: Adding one pass at a time

Add individual passes using the form:

  • First & last name (required)
  • Total guests - number of guests for this name (defaults to 1)
  • Free guests - number of free guests included in total (defaults to 0), shown when Track free guests is on or the pass already has free guests (see Add or import event guests)
  • Custom fields - add or fill in any custom fields

Example: For John Smith and two friends, where John enters free but his friends pay, enter Total guests: 3, Free guests: 1.

Select Add when complete.

Import tab: Importing from files

  1. Select your Excel, CSV, or text file
  2. The importer shows your data and asks which columns to import
  3. Map columns to predefined fields (name, total guests, email, etc.)
  4. Select "Custom field" for data that doesn't match a predefined field, or "Skip" for unwanted columns
  5. For Excel files, use one sheet per file with column titles in the first row, and keep Row 1 is title selected
  6. Select Correct name case to fix names written in capitals or lowercase. When Track free guests is on (see Add or import event guests), select All guests free to add every pass with free guests only
  7. Select Import

The importer processes tens of thousands of passes in seconds.

Text tab: Copy and paste

Paste names directly from emails, WhatsApp messages, or other text sources:

  1. Paste or write names, one per line
  2. Select Add
  3. Check the passes in the importer and then select Import

Steps to extract passes with AI

NoteAI guest import: available on the Lite, Starter, and Professional plans.

When the text isn't one name per line, such as an email or a chat conversation, let AI find the passes in it:

  1. Paste the text and select Extract with AI
  2. Select Extract
  3. Check the passes AI found. The text each pass came from is highlighted. Correct a value directly in the list, or select Looks wrong to try again, edit the input or discard the result
  4. Select Looks right, import

Text format examples

One name per line:

John Smith +2

Free guests in parentheses (when Track free guests is on, see Add or import event guests):

Katy Perry +1 (2)
Hugo Smith (free)

Note after a colon:

Jon Snow +2 : King of the north

Email after the name:

John Smith john@attendium.com

Duplicates

The importer checks for duplicates within the import and against the passes already in the pass type, and asks what to do before anything is added. For names that appear more than once in the import, select Keep last one of each or Keep all. For names that already exist, set the Action for each one to Add duplicate, Skip or replace the existing pass, and then select Import selected. To skip all of them, select Skip all.
